parts or other items you think would be relevant to

and let us know of your interest.

with some limitations. Do email mcget@aol.com
GENERAL
INSTRUCTIONS TO VENDORS:
See Getting to Trophy Bikes and Where to Stay for
useful info. It has been slightly updated, but NOTE
no hotel discounts have been arranged this year--we
tried, but got little cooperation. Note also that
hotel occupancy rates are very low in Philadelphia,
so feel free to bargain for the best price.
THE
VENUE:
Trophy Bikes is a first-floor, basic bicycle shop–not
a convention center, so space will be at a premium.
We will be clearing an area for display amd activities,
and will provide brochure/catalog space. Banners and
other materials are welcome, but it's unlikely that
there will be space for tables or fancy display structures.
If you have stands that will support one bike over
another, they will be useful! Weather permitting,
additional space will be provided on street, close
to the front of the shop. Some of the workshops and
lectures will be probably moved to a local gallery/lectures
space about one block away.
SHIPPING:
If you can ship bikes to arrive before May 25th, this
would help make load-in and display go more smoothly.
We would like to make bikes available to be photographed
by the press. Please let us know what day you plan
to arrive and if you're sending bikes early or arriving
with bikes. We hope you can send bikes early (as early
as mid-May). This will help us plan display and publicity
efforts. Trophy mechanics plan to assemble, troubleshoot
(don't forget manuals!), display and make any early-shipped
bikes available to the media in advance. Ditto for
brochures, banners, videos, etc.
MERCHANDISE,
TEST RIDES, ETC.: Trophy will make every
effort to keep merchandise safe, and to protect vendors.
All attendees will be asked to sign waivers, and anyone
wishing to test ride bicycles will be asked to wear
a helmet, provide credit card/ID, and sign a waiver.
SALES:
All merchandise provided is assumed to be for sale
unless marked otherwise. All vendors' bikes are assumed
to be available for test rides and sale unless specifically
marked DISPLAY ONLY, or NOT FOR SALE. While deposits
may be taken in advance, all merchandise will be kept
on display through noon Sunday, June 11th.
All
merchandise should be tagged with a retail price,
and a listing of the wholesale prices to be paid to
the vendor by Trophy Bikes must be provided. Trophy
will pay vendors with a company check for all merchandise
we sell. If vendors wish to leave merchandise/bikes
in Philadelphia, Trophy may at our option:
1) purchase goods at wholesale or other agreed on
price
2) store, display and attempt to sell goods for an
agreed-on period/price
3) arrange to ship unsold goods back to vendor at
vendor's expense.
PROGRAM
All vendors will be listed in the program, with complete
contact information. Please send updated contact info,
including web and email addresses. If you can attach
pdf or jpeg files of your company logo, along with
simple line art or photos, these may be used in the
program. 10 to 25 words about your folder, small wheel
bike or product will be welcome, too.
MARKETING/PR:
Early email and postcard press releases were sent
in late 2005 to more than 100 print and electronic
media, both general interest and bicycle industry.
The largest percentage have gone to North America
and the U.K., followed by Europe and Asia, with a
smaller number going to Asia, Mexico and South America.
The latest issues of A to B Magazine carry announcements
and display advertising about the ROUND*UP
USA. Electronic stories and calendar listings
have already appeared in CenterLines, VeloVision,
Bicycle Retailer and BikeBiz UK, Centerlines, and
more.
A
follow-up mailing went our this March to general and
cycling media, inviting their coverage. If you'd like
to talk to the media, please include contact names
and numbers, and we'll forward them along with our
general press releases. If you have story ideas about
your company–cycling feats, celebrity customers,
manufacturing milestones, local connections to Philadelphia–whatever
you think might earn media attention, please tell
us!–include facts, figures, dates, names and
contact info,
ETC.
All registered vendors will get a list of attendees
information after the event ends; this may prove useful
for marketing and follow-up. Please do email us if
you have any questions and/or to confirm your participation
in the ROUND*UP USA.
Thanks!
--Michael McGettigan, co-ordinator, the ROUND*UP
USA.
